A notepad for support and sales: customer details at hand while you work
You talk to lots of customers every day, and each one tells you something different. Here is a simple system to write it all down and find it in seconds when they email or call again.
If you work in support or sales, you know the moment: a customer calls back and you can't remember what you promised, which plan they're on or who they spoke to last time. The CRM or helpdesk keeps the history, but digging for the one important detail among dozens of messages takes time, and the customer is waiting.
The fix isn't writing more, it's writing better: one short note per customer, always with the same structure and always with the next step. We'll show you how to do it with any tool, and how to keep those notes one keyboard shortcut away from the ticket page with NexoPad.
Why the CRM history isn't enough
The history keeps everything, and that's the problem: what matters gets buried under greetings, forwards and auto-replies. When the customer calls, you need three or four key facts, not twenty messages to read.
And a lot of what matters never reaches the history at all: what they told you on the phone, the concern they didn't want to put in writing, or what you promised out loud. If you don't write it down right away, it's gone. That's why it pays to keep your own notes, short and made to be read in ten seconds.
What to write down for each customer
You don't need to write much. These five things cover almost everything you need to pick up the conversation again:
Who they are. The person's name and company, plus their role if it matters for the decision.
What they have. Plan, product or number of licenses, so you don't have to look it up every time.
What they asked for or are worried about. One sentence, in their words if you can.
What you promised. It's the thing people forget most, and what annoys customers most when it doesn't happen.
Next step and date. Who does what, and when. Without this, the note isn't much use.
A simple template
Copy this template into every new note and fill in only what you know. For example:
Customer: Laura Gómez, Brightline
Has: 12 licenses
Worried about: initial training for the team
Promised: send a proposal
Next step: send the proposal on Thursday. Decision before the end of the month.
A system that works when you're busy
One note per important customer
You don't need a note for everyone who writes in. Create one for each customer or account you talk to often, and add new updates underneath with the date. Everything about that customer stays in one place.
Jot during the call, tidy up after
While you talk, write single words: this isn't the time for full sentences. When you hang up, take one minute to move it into the template. For more ideas on writing while someone is talking, see how to take meeting notes.
Always write the next step
Even if it's just "nothing, wait for their reply". A note that ends with a clear step tells you what to do the next time you open it. If the step has a date, add a reminder.
Review before every call
Thirty seconds reading the note before you call changes the conversation. The customer can tell you remember what they told you, and they don't have to repeat it.
Your notes from the ticket or CRM with NexoPad
Write without leaving the ticket
With the side panel open, go to the Notes tab and click the quick note button (the blue lightning bolt). Type a title, like the customer's name, and a few lines, then click Save. You stay on the same page, with the customer still on the phone. More tricks in how to take quick notes in Chrome.
Organize them in the Notebook
Press Alt+Q to open the Notebook, a full page for your notes. You can create folders, for example one per customer type, use bold and lists for the template, pin your most active accounts to the top and search across all of them.
Find them with Ctrl+K from any page
Whether you're in your helpdesk, your CRM or Gmail, press Ctrl+K (Cmd+K on Mac). A search box opens over the page: type the customer's name and you'll see their notes, links and snippets. Press Enter to copy the note, open the link in a new tab or insert the snippet. Esc closes it.
Never miss a follow-up
Click the bell on the note and choose when you want to be reminded: once, or on repeat (Daily, Weekly or Monthly). The reminder shows up inside whatever page you're on. If you're busy, click Snooze (15 minutes, 1 hour or tomorrow). With High priority, if you don't deal with it, it reminds you again after 3 minutes. More details in how to set reminders in Chrome.
Repeated answers and team notes
Turn what you repeat into snippets. If you explain the same thing every week (the warranty, how to get an invoice, the steps to reset a password), write it once in a note and give it a Shortcut, for example /warranty. When you type it in any text field, NexoPad replaces it with the note's text. You'll find ready-made examples in customer support templates and sales follow-up templates.
Share customer notes with your team. With the Teams plan you can save notes to the team vault, so your colleagues see the same notes for each customer. If a customer calls and it's your turn, you know what they were told. We explain it in how to share links with your team.
FAQ
What should I write down for each customer?
Who they are, which plan or product they have, what they asked for or are worried about, what you promised and the next step with a date. That's enough to pick up any conversation.
One note per customer or one per call?
One per customer or account works better, adding each call underneath with the date. That way everything about that customer is in one place.
Can I search my notes from the ticket page?
Yes. With NexoPad, press Ctrl+K (Cmd+K on Mac) on any page, type the customer's name and you'll see their notes, links and snippets.
Will NexoPad remind me about a pending follow-up?
Yes. Add a reminder to the note with the bell, once or every day, week or month. The reminder appears inside the page you're on, and you can snooze it.
How many notes can I have for free?
The free plan includes up to 15 notes. If you handle lots of customers, the Pro plan goes up to 1,000.
