12 AI prompts for writing sales emails

Ready-to-copy instructions for every step of the sale, with blanks for your details, and a way to use them without copying and pasting between tabs.

AI can write a sales email in seconds, but if you ask it to "write an email to sell my product" you'll get something long, generic and easy to spot. What makes the difference is what you tell it: who you're writing to, what you offer and what you want to happen next.

Here are twelve prompts for everyday sales work: cold emails, follow-ups, objection handling, proposals and subject lines. Replace whatever is in brackets with your own details, and always review the result before you hit send.

Before you start: 5 rules so your email doesn't sound like AI

  • Say who you're writing to: their role, their company and what they care about.
  • Give it a real fact the AI can't know: a result, a deadline, a price.
  • Set a limit: "under 100 words" works better than "short".
  • Ask for one goal: a call, a reply or a date. Not everything at once.
  • Ask it not to make things up: "if a detail is missing, leave it in brackets".

Prompts for first contact and subject lines

1. Short cold email

"Write an email under 100 words to the [role] at [company]. I offer [product], which helps [specific benefit]. End by suggesting a 15-minute call. Friendly tone, no hype."

2. Personalized opening line

"Using this information about the prospect: [news, post or detail from their website], write three possible opening lines for an email. Make them sound natural, not like flattery."

3. Five subject lines to choose from

"Suggest five subject lines for this email, under 45 characters, with no all caps or exclamation marks. Make two of them questions."

4. Review before sending

"Read this email as if you were a busy [role]. Which sentence is unnecessary, what's unclear and what would make you ignore it? Suggest specific changes."

Prompts for follow-ups and objections

5. Follow-up with no reply

"Write a follow-up under 60 words to this email that got no reply. Add something new, such as [case, figure or resource], and don't say "just checking in"."

6. Last follow-up, no pressure

"Write a final, friendly email to close the conversation: I'll stop writing, but the door stays open if [problem we solve] becomes a priority again."

7. Replying to "it's too expensive"

"A prospect says [product] feels expensive. Write a reply that acknowledges the concern, explains what the [price] includes and offers [alternative: smaller plan, trial, annual billing]. Under 120 words."

8. Replying to "now isn't a good time"

"The prospect says now isn't a good time. Write a short reply that respects their decision, asks when it would make sense to talk again and doesn't push any further."

Prompts for proposals and changing the tone

9. Email after a meeting

"Using these meeting notes: [notes], write a recap email in three parts: what we discussed, what we agreed and the next steps with dates."

10. Sending a proposal

"Write the email that goes with my proposal for [company]. Summarize what's included in three points, the total price of [price] and the deadline of [date]. Invite them to ask questions."

11. Change the tone

"Rewrite this email in a more [friendly / formal / direct] tone, without changing any facts, prices or dates."

12. Shorten it and end with a question

"Cut this email in half, remove the filler and end with a single question that's easy to answer."

Save your prompts as shortcuts

If you use the same prompts every week, there's no point digging for them in a document. In NexoPad you can save each one as a snippet with its own shortcut, such as /aiobjection, and type it into the AI chat you use in your browser or into any other text field.

The blanks in brackets become variables: {{input:Product}} asks you for a short value, {{paragraph:What the prospect said}} lets you paste a longer text and {{dropdown:Tone|friendly|professional|direct}} lets you pick from a list. When you type the shortcut, NexoPad asks for those details and writes out the full prompt.

Use AI right on your draft

Or don't leave the email at all. Select your draft in Gmail, Outlook or your CRM and click the lightning icon that appears next to it. You get quick actions such as Fix, Formal, Soften, Shorten, Rewrite or Translate, plus the ··· button to type your own instruction, like prompt 12.

Because the text is in an editable field, NexoPad replaces your draft with the new version and lets you Undo if you don't like it. While your instruction is filled in, it also applies to the other actions. And if you'd rather work in the side panel, you can save your favorite prompts there and run them in one click.

Important:NexoPad's AI works with your own key from one of its 10 providers, such as Groq, OpenAI or Gemini. See how to set it up in the AI providers guide.

What to always check

  • Prices, discounts and dates: AI can change or invent them without warning.
  • Example customers and results: never share success stories that don't exist.
  • Personal data: don't paste sensitive customer information into a prompt.
  • That it sounds like you: change any sentence you'd never say.
  • The rules in your country for commercial email, especially for cold outreach.

FAQ

Do these prompts work with any AI assistant?

Yes. They're written in plain language, so they work in ChatGPT, Gemini, Claude or NexoPad's AI. Results vary a little from model to model.

Is a prompt or a template better?

It depends. If you write almost the same thing every time, a template is faster and more reliable; see our cold email templates. If every prospect is different, a prompt gives you a tailored first draft.

Do I have to pay to use the AI?

In NexoPad you use your own key, and the free plan includes basic access to the assistant. Some providers, such as Groq, have a free plan with usage limits; here's how to get a free API key. Groq information taken from console.groq.com on October 14, 2026.

Can I share my prompts with my team?

If you save them as snippets, yes: with NexoPad Teams you can keep them in a shared vault. Prompts saved in the side panel are personal. For support work, see also our AI prompts for customer support.
