How to cancel or decline a meeting by email

Sometimes you have no choice but to cancel. Here's how to do it politely, with templates for every situation.

Canceling a meeting isn't wrong: what annoys people is finding out at the last minute, with no explanation and no alternative. A clear, timely email keeps the relationship intact.

Here are the key tips and five templates to cancel, postpone or decline a meeting.

Tips to cancel gracefully

  • Give notice as soon as possible: the moment you know you can't make it.
  • Apologize once, without over-explaining.
  • Give a brief reason, even a general one: "something unexpected", "a scheduling conflict".
  • Suggest a concrete alternative: a day and a time.
  • Update or delete the calendar invite so nobody shows up.

Write it in seconds

Canceling is awkward enough; writing the message shouldn't be. With NexoPad you save your template with a shortcut like /cancel and variables for the name, day and new suggestion, plus a dropdown with the reason.

When you type the shortcut in your calendar or email, NexoPad asks for those details and writes the full message. If you need to propose a new meeting, you'll find ideas in our meeting request email.

Fill in the name, day, new suggestion and reason.
The message, next to the event, ready to send.

Frequently asked questions

How much notice should I give to cancel a meeting?

The sooner the better. Ideally at least a day before; if it's last minute, apologize and suggest another date.

Do I have to explain the reason?

A brief, general reason is enough. There's no need to share personal details.

How do I decline a meeting without seeming rude?

Thank them for the invite, briefly explain you can't make it and offer an alternative: someone else, a written summary or a different date.

What if I need a formal apology?

We explain the structure in our guide to writing a formal email.
