How to respond to negative reviews

A well-handled bad review can be more convincing than ten good ones. Here's how to do it, with examples for every situation.

Negative reviews hurt, but they're an opportunity: the person reading your reply isn't just the upset customer, but every future customer comparing businesses. They see how you react when something goes wrong.

Here are the steps to respond well, the mistakes to avoid and five examples depending on the reason for the complaint.

How to respond to a negative review, step by step

1

Respond quickly

Try to reply within a day or two. An unanswered review gives the impression that you don't care.

2

Say thanks and use their name

Start by thanking them for taking the time to write. Using their name makes the reply more human.

3

Apologize for the specific issue

Mention exactly what went wrong (the delay, the service, the product). A generic apology sounds copy-pasted.

4

Explain what you'll do

Say what you've changed or how you'll fix it. That's what future customers value most.

5

Take it offline

Offer an email or phone number to resolve it in detail, without arguing in public.

Mistakes to avoid

  • Arguing or making excuses in public, even if the review is unfair.
  • Replying while angry. Wait until you're calm before writing.
  • Using the same reply, word for word, on every review.
  • Asking for personal data in the public reply.
  • Offering compensation in exchange for removing the review. Many platforms forbid it.
